Office Manager

Location: Fort Lauderdale, FL

Job Overview:
We are seeking a highly motivated, detail-oriented Office Manager to join our team at our Florida Headquarters. This role requires an individual with strong communication, organizational, and time-management skills who thrives in a fast-paced, dynamic environment. The ideal candidate will have a background in office management, HR coordination, and administrative support, with a strong focus on customer service.

Key Responsibilities:

  • Interdepartmental Coordination: Act as the main point of contact for internal departments and assist with inquiries from employees and brokers.
  • HR Administration: Manage onboarding and offboarding processes, coordinate access to departmental systems, and handle HR form submissions to the parent company.
  • Scheduling & Meetings: Organize and maintain senior management meetings, including preparing agendas and scheduling.
  • Office Operations: Monitor office licenses, maintain the employee and broker directory, and manage the office calendar of events.
  • Recruitment & Hiring: Create job posts, screen applicants, and coordinate interviews.
  • Financial & Administrative Support: Oversee company credit card monitoring, check deposits, and assist with credit applications for new vendor accounts.
  • Cross-Department Support: Cross-train with the AR and AP teams and support them as needed.
  • Special Projects & Events: Assist with company events and special projects as required by senior management.
  • Documentation & Reporting: Maintain and create company reports and ensure proper documentation and filing of business records.

Qualifications & Skills:

  • Experience: 2+ years of office management, administrative support, or project management experience.
  • Industry Knowledge: Marine industry experience is preferred, but not required.
  • Software Proficiency: Strong knowledge of Microsoft Office tools and both Mac/PC platforms.
  • Interpersonal Skills: Excellent communication, multitasking, and time-management abilities.
  • Detail-Oriented: A strong attention to detail, with the ability to manage multiple responsibilities.
  • Bilingual: Preferred but not required.
