Full job description

An Ophthalmic health care provider in the Tampa Bay area has an opening for a full-time Office Manager in our Tampa facility. This individual is responsible for the day-to-day operational functions of the Front Office and Clinic, guaranteeing that our exceptional customer service standards are met.

Job Duties:

  • Train and supervise front office staff, establishing a high-performance team that is efficient, knowledgeable, service-oriented, and shares responsibility for attaining the goals of the practice.
  • Coordinate with Clinic Leader to ensure smooth flow and efficiency from check-in to checkout.
  • Present concerns with daily clinical schedule to Leaders, proposing solutions to any scheduling challenges and reporting on no-shows.
  • Prepare weekly status reports regarding front office performance, proposing solutions to any challenges being faced.
  • Handle difficult patient situations.
  • Oversee check-in, check-out, patient schedule, dictations, and non-clinical inventory.
  • Create a weekly schedule for the front office and provide backup during absences
  • Oversee end-of-day checklist, ensuring staff completes closing tasks including preparation of daily deposits, change orders, credit card transaction receipts, and cash drawers.
  • Receive all front office requests for time off, making notes in the practice calendar.
  • Manage disciplinary processes, including keeping appropriate documentation and partnering with Human Resources for solutions.
  • Provide leadership, guidance, and expertise to all staff members.
  • Effectively communicates departmental activities to the entire staff, i.e. notify staff of physician schedule: vacations, meetings, etc.
  • Any other duties as assigned by the Director of Operations and/or Senior Leader.

Minimum Requirements:

  • Must have 3-5 years of management experience in a medical group practice.
  • Must have a successful track record leading a team, and providing effective training.
  • Must have a working knowledge of Medicare, Medicaid, and commercial insurance.
  • Excellent customer service and communication skills.

Essential Skills:

· Ability to direct and manage the day-to-day aspects of the business side of the clinical practice, including patient scheduling, collecting fees, and providing financial counseling to patients in efforts to schedule surgical procedures (to include payment plans and other special financial arrangements).

  • Ability to manage multiple tasks simultaneously with minimal effort.
  • Role model for following instructions and conforming to office protocol.
  • Ability to triage complicated situations, and analytical problem-solving skills.
  • Strong organizational skills with attention to detail.
  • Promotes a respectful, team player office environment.
  • Poise and ability to remain calm and organized under pressure.
  • An energetic, positive attitude is vital in this extremely fast-paced environment.
  • Core knowledge of practice management systems a plus.
